Content audit
A review of what sits on the file server or cloud drives, how much of it is stale, and what the new structure should look like.
Files moved off the server, organised properly, then set up to file themselves.
SharePoint is the document management platform inside Microsoft 365. It stores files in sites and libraries with version history, permissions and search, and it is what sits behind the Files tab in Teams. Moving to SharePoint replaces a file server or consumer file-sharing service, and automating it with Power Automate lets documents file themselves.
Shared drives turn into mazes: folders nested ten deep, copies named "final v3" and permissions granted to individuals years ago and never removed. Moving that into the cloud unchanged only makes things harder to find.
We restructure before we migrate. Files move into SharePoint sites and libraries that match how the business actually works, access is granted by team rather than by person, and repetitive filing is handed to Power Automate so documents land in the right place with the right details attached.
What is included
A review of what sits on the file server or cloud drives, how much of it is stale, and what the new structure should look like.
SharePoint sites for teams and projects, with libraries, metadata and views that make documents easy to find.
Files moved from file servers, Dropbox, Google Drive or Box, with version history kept where possible and long or invalid file paths fixed first.
Access granted through Microsoft 365 groups, so a new starter gets the right files and a leaver loses them in one step.
Automated intake and filing: email attachments saved to the right library, consistent file names, approvals routed and metadata applied without anyone doing it by hand.
Libraries connected to the right Teams channels, so files and conversations sit together.
Short sessions showing staff how to find, share and sync files in the new setup.
Questions
You can, but it is rarely the best choice. We usually keep familiar top-level folders and simplify what sits beneath them, so staff recognise where things are without inheriting years of clutter.
Yes. The OneDrive sync app keeps chosen libraries in File Explorer on Windows and Finder on a Mac, available offline, and syncs changes when the connection returns.
Anything that follows a rule: saving email attachments to the right library, naming files consistently, routing documents for approval, or alerting a team when something arrives. If staff repeat the same filing steps every day, it can usually be automated.
